Working with WST
Partnering with WST means more than just hiring a vendor—it means gaining a team that’s deeply embedded in the rhythm, challenges, and nuances of live events. We specialize in complex, content-heavy conferences and bring a structured yet flexible approach to every project we take on. From kickoff to closeout, we prioritize proactive communication, seamless integration with your team and vendors, and a deep respect for your attendees' experience. While we’re managing content, capturing presentations, supporting speakers, and collaborating with your AV provider, our goal is to make your life easier and your event stronger.
How we get ready for your event
Onboarding
WST works with you and your event planner to create the best learning session experience possible by delivering flawless speaker content and instant access to recordings for your conference attendees.
1-2 months before event
A conference branded presentation upload site is created and provided to Speakers. Speakers can upload presentations at any time prior to their scheduled session.
Session room schedule is provided to WST.
WST coordinates with your AV Vendor of choice.
Day before the event
The WST team arrives and sets up the Speaker Ready room as well as each session room with proprietary content enhancing hardware/software combinations to ensure your learning sessions are delivered and recorded flawlessly and exactly as each speaker intended.
Day 1 of the event
Speaker ready is open. No forced file conversions, no waiting in lines and no forced check-in or out rules. Speakers edit and preview their presentations and notes, regardless of file type, on devices that are exact clones of the devices in each session room.
Break-out sessions begin with a single "click" and attendees view the Speakers content EXACTLY as each Speaker intended. All sessions are recorded. WST monitors ALL session rooms from speaker ready and provides support as needed.
Day 2 until end of the event
Attendees continue to view sessions exactly as each speaker intended, with no conversion errors or technical glitches.
Sessions recorded on Day 1 are accessible to attendees via an online and branded content library.
WST continues to monitor ALL session rooms and provides speaker support as needed.
