How does WST work alongside my AV provider?

Your AV provider brings the production: staging, lighting, sound, exhibits and the room itself. WST adds a specialty on top of that. Presentation management and session capture are the only things we do, so they get our full attention.

Our software, hardware and on-site team play every slide exactly as the speaker intended, in any format, keep sessions on schedule, and put recordings online within minutes. Each team focuses on what it does best, and the whole show is better for it: for your attendees, your speakers and your AV partner.

How do attendees benefit directly?

Will it work with the AV vendor we're already contracted with?

Yes. WST works with any AV provider. Your AV team still handles sound, lighting, staging, design and exhibits. We supply dedicated lectern and rehearsal devices for speaker ready and session rooms, and every kiosk and session room connects to our server over the venue's existing internet, so no VLAN is needed.

What presentation formats does WST support?

PowerPoint, Keynote, PDF, Canva, Google Slides and more, all displayed exactly as the speaker designed them, without error-prone conversions or extra session room hardware.

Does it work with event platforms like Cadmium and X-CD?

Yes. WST works alongside event platforms like Cadmium and X-CD Technologies, and we've built direct integrations with a number of event platforms to pull in speaker details, session data and timing. Where possible, we can do the same with yours, so your systems talk to each other and the details stay accurate everywhere. WST handles the presentations themselves, from speaker upload to the recording in your LMS or content library.

Can recordings go to the LMS we already use?

Yes. Most organizations already have an LMS, and WST integrates with whichever one you use, sending recordings straight there. If you don't have one, or want a separate space for the conference, we can host a complimentary content library branded for your event.

What's the pricing model?

This is great, but won't it cost more?

Usually not. If your budget already covers lectern hardware, a speaker ready room and presentation support, that is typically enough for WST, and many clients find meaningful savings.

Do we need to order a VLAN?

No VLAN needed. WST runs on the venue's existing internet, which can save you thousands in VLAN fees.

Does it require additional onsite AV staff?

No. Our on-site control team monitors session rooms remotely in real time, and speaker ready is monitored in person. You'll typically need fewer floating techs, and sessions keep running smoothly.

How quickly do we get session recordings?

Instant Access recordings are available within minutes of each session ending. We send them straight to the LMS you already use, or host them in a branded online content library if you prefer. Polished, edited recordings follow in as little as 24 hours after each session ends, as full sessions or individual talks, in whatever format you need.

What kind of support do we get onsite?

A highly experienced, dedicated WST team monitors speaker ready and every session in real time, ready to help instantly.

What's the setup process?
  • 1–3 months before: we provide a branded upload site for speakers and set up recording delivery to your LMS, or a branded content library link to share with attendees at check-in.
  • 1–2 days before: we set up speaker ready kiosks, place lectern devices in each room, connect everything to the venue internet (no VLAN needed) and test it all. No special infrastructure is required.
  • Show days: speaker ready opens, sessions are recorded and delivered to your LMS or content library as each one ends, and we monitor everything live.
  • As little as 24 hours after each session: polished, edited recordings, as full sessions or individual talks.
